Hey everyone,
I handle the digital side of things for a travel company, and one of our biggest daily headaches is putting together clear, day-by-day schedules for our clients.
The trips we organize—specifically our packages at Labbaik Hajj Umrah have a lot of moving parts. We have to balance flight times, hotel check-ins, guided tours, and strict prayer schedules. Doing this manually used to take me hours every week.
I have been testing different ways to get ChatGPT and Claude to format these itineraries without making mistakes on the timings. After a lot of trial and error, I wanted to share the prompt structure that finally works consistently for me.
Here is the template:
"Act as a travel coordinator. I need a daily schedule for a [Number]-day trip to [City/Country]. The trip starts on [Start Date] and ends on [End Date].
Please follow these rules:
Start Day 1 with hotel check-in at [Time].
Include daily time blocks for [Specific Activity, e.g., local guided tours or religious visits].
Keep 1:00 PM to 2:00 PM open every day for lunch.
Leave the evenings free after 7:00 PM.
Output this as a simple bulleted list, broken down by day. Do not add extra filler text."
It is a very simple setup, but using this exact format stops the AI from adding random tourist traps we didn't ask for, and it keeps the timeline realistic.
I'm still having some trouble getting the AI to perfectly understand local time zone changes when flights cross over. If anyone has a better prompt trick for handling time zones without the AI getting confused, I would love to hear it!
