When several people help choose a gift, the organizer may have more information than everyone needs.
Private notes might include a delivery address, personal conversations, or an explanation of why a particular gift would be unsuitable. A shared selection brief usually needs much less: relevant interests, practical preferences, and the decisions still to make.
Prepare a smaller brief before asking AI to organize it.
Choose what collaborators need to know
Write down the purpose of the shared document.
For example: “Help two friends choose between three art-related gifts.”
That task may require the recipient’s preferred medium and existing equipment. It probably does not require their workplace, exact birthday, or the full conversation in which they mentioned an interest.
Remove unnecessary details yourself before supplying the notes to the assistant.
Use neutral references
Replace names with labels such as “Recipient A.” Keep delivery arrangements in a separate private record.
A label does not make a document anonymous. An unusual combination of details can still identify someone. The aim is to create a concise brief suited to its audience.
The prompt
“Turn the edited notes below into a gift-selection brief for the collaborators I describe.
Include only information needed to compare the supplied gift options.
Use the recipient label I provide. Preserve relevant interests and practical requirements without adding personality traits or unsupported assumptions.
Return:
- A short recipient brief
- The supplied options and their relevant differences
- Questions collaborators still need to resolve
Do not add addresses, contact details, private quotations, or explanations of personal circumstances.
If a remaining detail seems unnecessary for the stated task, list it for my review outside the shareable brief.
Do not purchase, contact anyone, or share the brief.”
A hypothetical edit
Private note:
“Recipient A mentioned wanting to try watercolor during a personal conversation. They already have brushes and prefer compact supplies.”
Shareable version:
“Interested in trying watercolor. Already owns brushes. Prefers compact supplies.”
The useful selection details remain. The context of the conversation adds little to the comparison.
Review before sharing
Check the draft for indirect clues, copied quotations, and conclusions you did not supply. Also confirm that the assistant has not removed a practical requirement simply to shorten the text.
The gift guides for building a shortlist can help generate options before collaborators compare them.
Share only the reviewed brief with the intended people. Keep the private notes and delivery information separate from the selection discussion.
