A shopping record can contain an order confirmation, a pending transaction, a posted payment, and a later adjustment.
When you ask an AI assistant to summarize that record, the first useful task is to arrange the events. Adding every visible amount together can obscure what each entry actually represents.
Start with a small, edited record
Give each entry a reference number. Include the source, displayed date, exact status wording, amount, and currency.
Remove card numbers, account details, addresses, and unrelated transactions before supplying the text.
Keep the order confirmation separate from payment entries. It records what the merchant says about the order; it should not silently become another completed payment in the summary.
Use this prompt
“Organize the supplied shopping records into an event timeline.
For each entry, preserve:
• Source reference
• Date and time as supplied
• Exact status wording
• Amount and currency
• Any explicit connection to another entry
Do not invent missing times or assume which event came first when dates are ambiguous.
Keep order records, pending entries, posted entries, and adjustments distinguishable.
Do not add all visible amounts into a spending total. Report any clearly identified posted-payment total separately, with the source rows used.
Describe possible relationships as tentative unless the supplied records explicitly establish them.
Finish with unresolved questions that require checking against the original records.”
A hypothetical example
Suppose your edited notes contain:
R1: Monday — merchant order confirmation — $52.
R2: Monday — account entry labeled “pending” — $52.
R3: Wednesday — account entry labeled “posted” — $52.
A useful timeline preserves all three records and their labels. It should not announce that you spent $156.
It also should not claim that R2 has disappeared or that every entry belongs to one transaction unless the records support those statements.
For background on the status distinction, see this guide to temporary authorizations and final charges.
Check the timeline against the originals
Verify dates, currencies, and copied status labels. If the assistant has turned “pending” into “paid,” correct the description.
Then inspect any proposed links between entries. Similar amounts can suggest a relationship, but the timeline should show where that relationship remains uncertain.
The finished output should help you locate the next fact to verify. Keep it beside the source records so that a concise summary never replaces the evidence behind it.
